Legal Secretary

Exchange Legal Services (‘ELS’) are looking for a Legal Secretary to provide administrative support to the team. The role of Legal Secretary at ELS involves a range of responsibilities including administrative duties, document preparation, case management, and other tasks as needed. The Legal Secretary will be assisting with managing the day-to-day operations of the legal firm, ensuring smooth workflow and efficient organisation of legal documents and processes. 

 The ideal candidate should possess strong organisational, communication, and multitasking skills, along with a solid understanding of legal procedures and terminology. Additionally, familiarity with billing and accounting processes is desirable. 

 In addition tasks may vary based on the evolving needs of the legal office, changes in workload, or new initiatives undertaken by the firm. The Legal Secretary should be flexible, adaptable, and willing to take on new challenges as they arise. 
The position requires flexibility, adaptability, and a commitment to maintaining confidentiality and ethical standards. The role is based in Borehamwood and requires attendance at the office five days a week. 

1. Administrative Duties: 

  • Answering phone calls, taking messages, and handling correspondence. 
  • Scheduling appointments, meetings, and court dates. 
  • Managing calendars and organising schedules for solicitors. 
  • Handling incoming and outgoing mail, including email correspondence. 
  • Communicating with clients, witnesses, and other parties to schedule meetings, gather information, and relay messages. 
  • Providing updates to clients on the status of their cases and answering basic legal questions under the guidance of solicitors. 
  • Diary management  

 

2. Document Preparation:

  • Formatting and editing legal documents to meet court requirements and solicitor preferences.
  • Filing legal documents. 

3. Case Management:

  • Maintaining and organising case files, including electronic and paper documents. 
  • Assist in automating processes throughout the business  
  • Coordinating with solicitors and other staff members to ensure timely completion of tasks related to ongoing cases. 
  • Assisting with the preparation of trial materials and exhibits. 
  • Corresponding with the court to obtain updates on case progression  

4. Other Responsibilities:

  • Providing general administrative support to the team as needed. 
  • Maintaining confidentiality and adhering to ethical standards in handling sensitive information and client matters.

This role is located in Borehamwood and the successful candidate would be required to attend the office five days a week

Desirable  

5. Billing and Accounting:

  • Recording billable hours and expenses incurred on client matters. 
  • Generating invoices and statements for clients. 
  • Assisting with tracking and managing accounts receivable.
